When to add users
Add users when someone needs to work in Ribbn for day-to-day store operations, such as:
- Listing and managing one-of-a-kind inventory
- Updating item status as products move through intake, merchandising, sale, or pickup
- Creating products with AI QuickList
- Handling in-store and online orders
- Supporting customers across your omnichannel workflows
For most stores, the business owner should set up staff access first, then invite anyone who helps with inventory, sales, or customer support.
Keep staff access tied to each person’s own email address so activity in Ribbn is easier to track by user.
Add a new user
Follow these steps to invite a staff member to your Ribbn account.
- In Ribbn, open Settings.
- Go to Users & Permissions.
- Select Create New User.
- Enter the team member’s name and email address.
- Choose the correct permission level for that user.
- Save the new user.
After you create the user, Ribbn sends them a passcode by email. They can use that passcode to sign in from the Login page.

Use roles carefully so staff have the access they need without creating confusion.

Ribbn recommends having only one Admin role on the account, ideally the business owner.
Add regular staff users
Use the same process for any employee or teammate:
- Go to Settings > Users & Permissions.
- Click Create New User.
- Enter their own name and email address.
- Assign the role that fits their work.
- Save the user.
This setup is useful for staff who:
- Create listings for resale and re-commerce inventory
- Process one-of-a-kind items
- Update product attribution and status
- Manage in-store and online sales activity
- Help customers with order questions
Add the Ribbn Tech Team for support access
You can also add the Ribbn Tech Team as a user so they can help with setup and account support when needed.
Recommended details
When creating that user, enter:

Permission level
Assign the Ribbn Tech Team the Manager role.

Adding Ribbn Tech can make it easier for support to:
- Access your account when you need help
- Assist with setup
- Troubleshoot day-to-day account issues
You can remove the Ribbn Tech user or change their permissions later.
What staff should expect after they’re added
Once you create a user:
- They receive a passcode by email
- They go to the Ribbn Login page
- They sign in using that emailed passcode
If the new user does not see the email right away, ask them to check their spam or junk folder before trying again.
Basic setup tips for store owners
To keep access simple and operationally clear:
- Make the owner the primary Admin
- Give other internal users Manager or Customer Support access as needed
- Add each person as their own user instead of sharing logins
- Review who needs access for inventory intake, AI QuickList listing, order handling, and customer support
- Update or remove access when staffing changes
