Export sales data

When to use this report

Use Export Sales Data when you need a CSV of sales activity for:

  • Bookkeeping
  • Month-end or period-end reporting
  • Reviewing sales performance across channels
  • Checking discounts, taxes, commissions, and payment methods

This export is especially useful when you want a shareable file for finance review or deeper analysis outside Ribbn.

Note

The sales export is based on the date range you choose before exporting, so always confirm the time period first.

Export sales data

Before you start

Make sure you know:

  • The date range you want to report on
  • Which email address should receive the export file

Steps

  1. Go to the Ribbn admin panel.
  2. Open the sales view.
  3. Use the date filter to select the time period you want to export.
  4. Click Export Sales Data.
  5. Check the selected email address for the CSV file.

The export is sent as a CSV file, which you can open in spreadsheet tools for bookkeeping or reporting.

Choose the right time range

Use the date filter the same way you would when viewing sales statistics.

Common examples:

  • Today or yesterday for daily store reconciliation
  • This week for short-term performance checks
  • This month for bookkeeping and payout review
  • A custom date range for tax reporting, finance requests, or event-based analysis

If the numbers do not look right, first confirm that the selected date range matches the period you intended to review.

Warning

If you export the wrong time range, you will need to run the export again with the correct dates.

What the export includes

The sales data export includes core reporting fields for day-to-day operations and bookkeeping.

Gross salesTotal sales before deductions
DiscountsIncludes manual discounts and store credit issued by sellers
Sales channelShows whether the order came from the Ribbn app, Webshop, or a manual order created in the desktop admin panel
CommissionsIncludes seller commission and store commission
TaxesIncludes VAT and sales tax where applicable
Payment methodShows Stripe or Zettle for card payments
Customer emailIncludes the customer email address connected to the order

Payment method notes

The payment system field helps you understand how the order was paid.

  • Stripe or Zettle indicates a card payment
  • If the payment system column is blank, the payment was made with Swish

This can be helpful when reconciling omnichannel sales across in-store and online orders.

Operational notes

  • Exported sales data is sent by email, not downloaded directly in the admin panel.
  • Customer email addresses are included in the report.
  • The export is intended for reporting and bookkeeping workflows.
  • You can use the file to review sales from different order sources, including online, in-app, and manually created orders.

Next steps

After you receive the CSV file, you can:

  • Review totals for bookkeeping
  • Filter or sort by sales channel, commission, tax, or payment method
  • Share the file with your accountant or finance team
  • Compare exported results with the sales statistics view if something needs verification

If something looks wrong

If the export does not match what you expected:

  1. Confirm the date range you selected.
  2. Check whether the order came from in-store, Webshop, or a manual order.
  3. Review discounts, commissions, and taxes in the export before comparing totals.
  4. Check the payment system field, especially if you are looking for Swish payments.

If the issue continues, rerun the export with the correct dates and compare it against the sales statistics view.
