When to use store credit
Use store credit when you want to adjust a shopper or seller balance without creating a new payment flow.
Common day-to-day uses include:
- Rewarding a customer
- Reimbursing part of a purchase
- Fixing a service issue or order problem
- Offering goodwill after a poor experience
- Giving a staff reward
- Supporting resale workflows where a seller should receive value to spend in your store
Store credit is tied to the user’s email address and is automatically applied at checkout. This works across:
- Online checkout
- In-store/POS checkout
Store credit only applies correctly when the sale is linked to the right customer or seller profile. In-store, always confirm the profile and email before completing checkout.
How store credit works in daily operations
Store credit creates a balance a user can spend later on purchases.
For example:

Give store credit to a customer or seller
Follow these steps when you need to add credit.
Open the customer record
Go to:
Customers > All Customers
Find the right person
Search by:
- Name
Open the correct profile before making any balance change.
Add the credit
In the profile, click Add Credit.
Enter:
- Amount
- Reason
- Personal note
The personal note is included in the email notification sent to the user.
Confirm the outcome
After you add the credit:
- The balance is saved to that user’s profile
- The user receives an email notification
- The credit becomes available automatically at checkout
Remove or deduct store credit
If credit was added by mistake, or the balance needs to be corrected, you can deduct it from the same place.
Deduct a credit amount
- Open the user’s profile.
- Click Add Credit.
- Enter a negative amount.
Example:
-20
If the current balance is 100 SEK and you enter -20, the new balance becomes 80 SEK.
You should also add:
- Reason
- Note
The user will be notified of the balance change by email.
Use negative amounts carefully. Double-check the profile, amount, and note before saving so you do not remove credit from the wrong account.
Use seller credits in resale workflows
In resale and re-commerce operations, seller credits are practical when a seller’s value should remain available for future store purchases.
This is especially useful when:
- You want to compensate a seller without a separate payout flow
- A seller prefers store value instead of another reimbursement method
- You are handling one-of-a-kind inventory and want to keep future purchasing simple
- Staff need a fast resolution during intake, issue handling, or post-sale support
Operationally, seller credits follow the same basic process as customer credits:
- Open the seller’s profile
- Add the credit amount
- Record the reason and note
- Let the seller use that balance later online or in-store
Store credit in omnichannel workflows
Store credit works best when staff follow the same profile-based process in every channel.
Online sales
At checkout, the user enters their email address, and any available credit is automatically applied.
In-store sales
When using the app or POS:
- Attach the order to the correct user profile
- Confirm the email matches the credit record
- Check that the credit appears before completing the sale
This is important for stores that sell through both physical and online channels, especially when managing unique inventory that may not be replaceable.
Operational notes and exceptions
Always document why credit was added
Use clear reasons and notes so other staff can understand:
- Why the credit was issued
- Whether it relates to a return, issue, seller adjustment, or goodwill gesture
- What the user was told
This helps with consistent service and cleaner reporting across day-to-day store operations.
Confirm the correct profile before checkout
Because credit is tied to email, a mismatch between the person at checkout and the saved profile can prevent the credit from being used as expected.
Credit is best for balance adjustments, not product handling
If the issue also involves inventory, complete the related item workflow separately. For example:
- Update item status
- Check inventory attribution
- Confirm the item is assigned to the right seller
- Continue any listing workflow, such as AI QuickList, only after the item record is accurate
Store credit solves the value adjustment. It does not replace the operational steps needed for inventory control.
