When to use the web POS
Use the web POS when your store checks out customers in a browser-based setup, such as on a desktop or tablet. This is the desktop alternative to app checkout and works well for everyday in-store sales, especially when staff need to scan items, add quick line items, or take payment from a connected reader.
For the best inventory accuracy and reporting, add products to inventory before checkout whenever possible. Use custom products during checkout for exceptions, quick sales, or items that are not yet in inventory.
Before you start
Make sure you have:
- Access to the web POS in Ribbn
- The correct store location selected
- A connected Stripe WiFi card reader if you are taking card payments in the browser
- A barcode scanner, if your store scans tagged items
- The item details ready if you need to create a product during checkout
Start a web POS checkout
- In Ribbn, go to Orders.
- Select Create POS Order.
- If you use more than one location, choose the correct store location.
- Connect the Stripe Reader you want to use for payment.
Add items to the order
You can add items in several ways depending on how your store works.
Scan an existing item
Use this when the product is already in Ribbn and has a barcode, QR code, or supported tag.
- Scan the item with your barcode scanner.
- Confirm the correct product appears in the order.
- Repeat for each additional item.
This is the fastest option for one-of-a-kind items that are already listed and tagged.
Search for an existing item
Use this when the item is already in Ribbn but you are not scanning it.
- Search for the product in the POS.
- Select the correct item.
- Add it to the order.
Enter quantity for simple fixed-price items
Use this for simple store-owned items that do not need individual item-level attribution during checkout.
Examples include:
- Caps
- Standard T-shirts
- Other basic fixed-price items
This workflow can help staff move faster during busy periods.
Add a custom product during checkout
Use this when the item is not already available in inventory and you need to complete the sale right away.
The web POS supports adding custom products directly from the checkout screen.
Custom products are best used for exceptions. If the item should be tracked in inventory going forward, add it properly to inventory after the sale or use your normal product creation workflow before future checkouts.
Add a store-owned item at checkout
Use Add product with VAT when the item belongs to the store.
This is the right option for store-owned goods where the store keeps the full sale amount and the item should be sold with the correct tax setting.
Steps
- In the POS, select Add product with VAT.
- Complete the product form.
- Select Create & Add to Order.

Add a seller item at checkout
Use Add product with Commission when the item belongs to a seller and your store keeps a commission from the sale.
This is especially useful in resale and re-commerce workflows when a one-of-a-kind item is being sold on behalf of a seller.
Steps
- In the POS, select Add product with Commission.
- Choose the seller who owns the item.
- If needed, create a new seller.
- Enter the item details.
- Select Create & Add to Order.

Why the product title matters
Use a descriptive product title so it is easier to:

- Show the seller exactly what sold

Add bags to the order
Use Add Bags when you need to charge for bags during checkout.
This lets staff add the charge without creating a separate product in advance.
Review the order before payment
Before you charge the customer:
- Check all order lines.
- Confirm the quantity and pricing.
- Make sure any custom item has the correct title, tax, seller, and commission details.
- Confirm the total amount.
If your store uses item attribution heavily, this is the best point to confirm the right seller or store ownership is attached before payment is taken.
Link a customer
Link the order to a customer when possible.
This helps with:
- Order history
- Customer record-keeping
- Sending the order confirmation by email instead of printing a receipt
Take payment
After the order is ready:
- Confirm the connected Stripe Reader is selected.
- Ask the customer to pay using the reader.
- Wait for payment confirmation in the web POS.
Once payment is captured, the order is complete.
Best practices
Use existing inventory whenever possible
For day-to-day operations, it is usually better to sell items that are already added to inventory. This supports:
- Cleaner reporting
- Better inventory tracking
- More accurate attribution
- Easier omnichannel operations across in-store and online sales
Use custom products for exceptions
Custom checkout items are most useful when:
- An item is missing from inventory
- You need to complete a sale quickly
- You are selling a one-off store item
- You need to capture a seller item that is not yet registered
Keep titles clear and specific
This is especially important for:
- One-of-a-kind items
- Seller-owned items
- Returns and exchanges
- Staff handoff between shifts
Good titles make order records easier to understand later.

Sell a one-of-a-kind seller item that is not in inventory
- Open the web POS order.
- Select Add product with Commission.
- Choose the seller.
- Enter a clear item title and price.

Sell a store-owned item that is missing from inventory
- Open the web POS order.
- Select Add product with VAT.
- Enter the item title and VAT-inclusive price.
- Confirm the commission is 100%.

Add a bag fee at checkout
- Open the order in the web POS.
- Select Add Bags.
- Confirm the charge appears in the order.
- Finish checkout as usual.
Troubleshooting and operational notes
The item is not found when scanning
Try one of these options:
- Search for the item manually
- Add it as a custom product if the sale must be completed immediately
- Confirm the correct location is selected if your inventory is location-based
The seller is not available
If the seller does not appear during seller item creation, create a new seller during checkout if your permissions allow it.
The customer wants an emailed confirmation
Link the customer to the order before payment so the order confirmation can be sent by email.
You need better inventory tracking later
If you created a custom product just to complete the sale, follow your store’s normal inventory workflow afterward to keep records clean.
