Understand VAT and sales tax on product listings

When to think about VAT or sales tax on listings

Use this guide when you need to decide how to handle tax for a product that is being:

  • created in Ribbn
  • added quickly at POS
  • listed online
  • sold in-store
  • sold on behalf of a seller

This page gives operational guidance for using Ribbn day to day. It is not tax or legal advice. If you are unsure which tax rate applies to an item, confirm with your accountant or local tax advisor before selling.

In most day-to-day workflows, the first question is:

  1. Is this a store-owned item?
  2. Or is this a seller-owned item sold on commission?

That distinction affects which quick-add option to use at checkout and how you describe and manage the listing internally.

Understand the two main product types

Store-owned items

Use the store-owned path when the item belongs to your store.

In POS, this means using Add product with VAT when you need to create the item during checkout.

Use this option when you need to:

  • sell a store item that is not already in inventory
  • complete a sale without leaving checkout
  • apply a tax category to a store-owned item

When creating the item:

  • enter a clear product title
  • enter the final price the customer should pay
  • make sure the price is inclusive of VAT
  • set commission appropriately for a store-owned item
  • choose the correct tax category

Seller-owned items

Use the seller-owned path when the item belongs to a consignor, vendor, or other seller and your store keeps a commission.

In POS, this means using Add Seller Item.

Use this option when you need to:

  • sell an item on behalf of a seller
  • record which seller owns the item
  • capture the store’s commission on the sale
  • support returns or exchanges with a clear item description

When creating the item:

  • select the seller
  • add a clear product title
  • enter the final selling price
  • enter the percentage your store keeps as commission
Warning

Do not use the store-owned VAT quick-add flow for a seller-owned item just because it is faster. Choose the flow that matches ownership so your records, reporting, and follow-up are easier to manage.


Add a store-owned item with VAT at checkout

If staff need to complete a sale and the product is not already in inventory, they can create it directly in Desktop POS.

Steps

  1. In POS, click Add product with VAT.
  2. Enter the product title.
  3. Enter the final customer price.
  4. Treat that price as VAT-inclusive.
  5. Choose the appropriate tax category.
  6. Review the details.
  7. Click Create & Add to Order.

Tax categories shown in this workflow

The POS quick-add flow includes these categories:

  • 25%
  • 12%
  • 6%
  • 0%

Use the category that matches your store’s tax treatment for that item type.

Note

The examples shown in Ribbn’s POS help content are operational examples only. They help staff pick the correct Ribbn option, but they do not replace professional tax advice.

When to use this workflow

This is most useful for exceptions, such as:

  • one-of-a-kind items that were not added in advance
  • last-minute store inventory sold at checkout
  • ad hoc in-store sales where speed matters

Best practice

Even though Ribbn allows you to create items during checkout, it is still better to add most products to inventory in advance when possible. This helps with:

  • cleaner reporting
  • better inventory tracking
  • smoother omnichannel operations across in-store and online sales

Add a seller-owned item with commission at checkout

If the item belongs to a seller, create it as a seller item during checkout.

Steps

  1. In POS, click Add Seller Item.
  2. Select the seller.
  3. If needed, create a new seller during the process.
  4. Enter the product title.
  5. Enter the final selling price.
  6. Enter the commission percentage your store keeps.
  7. Click Create & Add to Order.

Why the title matters

Use a specific, recognizable title whenever possible. This helps with:

  • returns
  • exchanges
  • seller communication
  • order history review

Example

If the commission is 12%:

  • the store keeps 12%
  • the seller receives 88%

Listing items online: what to check before you publish

Tax setup and listing status are separate tasks. Before publishing an item online, make sure the product record is complete enough for staff to identify and manage it correctly.

Check:

  • product title is clear
  • ownership is understood internally
  • price is correct
  • status is correct
  • the right products are being published

If you are publishing in bulk, Ribbn’s Publish Online action will:

  • add the availableOnline tag
  • change product status to Listed
  • make the items appear online

This is useful for day-to-day omnichannel workflows when you need to move products from internal inventory to online availability quickly.

Warning

Publishing items online changes listing availability. Double-check selection counts before running bulk actions, especially if you filtered a large result set.


Use Bulk Edit for tax-adjacent listing updates

Bulk Edit does not replace tax advice, but it is useful for operational changes that often happen alongside tax-related listing work.

You can use it to update multiple items at once, including:

  • status
  • price
  • brand
  • taxonomy values
  • size taxonomy
  • commission
  • inventory locations
  • tags

Common use cases

Update prices in bulk

Use Bulk Edit when many listings need the same pricing adjustment.

Adjust commission on multiple seller items

If a set of seller-owned products should use the same commission structure, update them together.

Publish many items online

Use the Publish Online bulk action when multiple items are ready to go live.

Move stock between locations

Use Edit Inventory Locations if product availability changes across store and online workflows.

Important selection rule

When using Select All, Ribbn initially selects only the 25 products visible on the page.

If more items match the filter and you want all of them:

  1. Click Select All.
  2. Then click the blue message next to Actions that says Select all XX products that match query.
  3. Confirm the count shown as XX Items selected before making changes.

This is especially important when updating listing status, prices, or commission across many items.


One-of-a-kind items and resale workflows

Many resale and re-commerce stores handle unique items that may not be preloaded before sale.

For these items:

  • use quick-add at checkout only when needed
  • add clear product titles so staff can identify the item later
  • keep ownership clear between store-owned and seller-owned inventory
  • review whether the item should remain only on the order or should also be added through your normal inventory workflow later

Operational tip

If a custom item was created only to complete a fast in-store checkout, consider whether staff should later recreate or clean up the product record through the usual inventory process for better long-term reporting and attribution.


Inventory attribution and status management

For tax-related listing questions, the most important operational habit is keeping item ownership and status clear.

Make sure staff can answer:

  • Is this item owned by the store or by a seller?
  • Was it created as a quick checkout exception or as part of normal inventory intake?
  • Should it be listed online?
  • Is the current status correct?
  • Is the commission correct for seller-owned items?

These checks help reduce confusion across:

  • POS
  • product listings
  • reporting
  • returns and exchanges
  • omnichannel inventory handling

AI QuickList and other fast-creation workflows

If your team uses fast product creation methods such as AI QuickList, apply the same review standard before publishing or selling:

  • confirm ownership
  • confirm price
  • confirm status
  • confirm whether the item should be sold as store-owned or seller-owned
  • confirm the product details are clear enough for later support work

Fast creation is helpful, but staff should still verify the product record before using it in live store operations.

Note

If your store has internal rules for reviewing AI-created or quickly created listings, follow those rules before publishing items online or relying on them for reporting.
