Edit products in bulk
Use bulk edit when you need to make the same change across many products at once, such as updating status, changing price, adding tags, moving inventory locations, or publishing items online. For one or two items, it’s usually faster and safer to edit them individually.
Bulk edits apply changes to many items at once. Always filter carefully and confirm your selected item count before you continue.
When to use bulk edit
Bulk edit is best for repeat changes across a group of products, including:
- Updating product status
- Adding or removing tags
- Adjusting prices
- Editing brand, size, or taxonomy fields
- Changing commission
- Moving inventory between locations
- Publishing products to your online storefront
- Preparing items for sale or clearance
Use bulk edit instead of editing one item at a time when:
- You have many products that need the same update
- You filtered a set of products by brand, category, status, vendor, or location
- You need to update online selling settings for multiple items together
- You are managing batches of resale or re-commerce inventory during daily store operations
For one-of-a-kind items, use extra caution. If each item has different pricing, condition, notes, or taxonomy, individual edits may be safer.
Before you start
Before making bulk changes:
- Make sure your filters only show the products you intend to update
- Decide whether the update should affect only the items on the current page or all items matching the filter
- Check whether the action changes inventory status, online availability, or sale state
- Be especially careful with one-of-a-kind inventory, since mistakes can affect unique items that are hard to recreate
Selecting the wrong filtered set can update many products at once. Review your filters and selected item count every time.
Bulk edit products
1. Go to Product View
Open Product View to start working with your product list.
2. Filter the products
Use filters to narrow the list to the exact products you want to update.
Common examples include filtering by:
- Status
- Tags
- Brand
- Product category
- Inventory location
- Vendor
- Online listing needs
This step is important because your bulk action will apply to the products that you select from this filtered view.
3. Select the products
Choose the items you want to edit:
- Select individual products manually, or
- Click Select All
4. If needed, select all matching products
By default, Select All only selects the 25 products currently visible on the page.
If more than 25 products match your filter and you want to update all of them:
- Click Select All
- Find the blue text near the Actions button
- Click Select all XX products that match query
This is the safest way to make sure you are editing the full filtered set, not just the first page.
5. Confirm the selected count
Check the count shown as XX Items selected before you make changes.
This is your final confirmation that the right number of products is included.
Choose the right bulk tool
After selecting products, use either Edit Products or Actions depending on what you need to change.
Use Edit Products for field updates
Use Edit Products when you want to change core product fields.
Available options include:
- Edit Brand
- Edit Taxonomy Values
- Edit Size Taxonomy
- Edit Status
- Edit Price
- Edit Commission
- Edit Size
Taxonomy fields you can update
Under Edit Taxonomy Values, you can update fields such as:
| Field | Examples |
|---|---|
| Primary Segment | Men, Women |
| Product Category | Clothes, Shoes, Accessories |
| Product Type | Outerwear, Bottoms |
| Product Style | Blazer, Cargo Pants |
Use these options when you need cleaner product organization across in-store and online workflows.
Use Actions for bulk operations
Use Actions for task-based changes and operational workflows.
Available options include:
- Add Tags
- Remove Tags
- Publish Online
- Republish Listed Items
- Prep for Clearance/Sale
- Reset Sale/Clearance
- Message Vendor of Selected Items
- Export CSV
- Duplicate Items
- Map to Ribbn Channel Partner
- Unassign RFID Tags
- Delete Items
- Edit Inventory Locations
Common bulk edit tasks
Add or remove tags
Use Add Tags or Remove Tags to update groups of products quickly.
This is helpful when:
- Marking products for a promotion
- Cleaning up old tags
- Flagging inventory for online listing or internal workflows
- Organizing resale inventory by campaign, season, or handling status
Update status
Use Edit Status to change the status of many items at once.
This is useful when inventory moves through different stages of your intake, listing, or selling workflow.
Update price or commission
Use Edit Price or Edit Commission when the same pricing change applies to multiple items.
This can save time during markdowns, vendor-approved price changes, or category-wide updates.
For one-of-a-kind products, double-check that the same change really belongs on every selected item.
Edit taxonomy or size data
Use Edit Taxonomy Values, Edit Size Taxonomy, or Edit Size when products need more consistent categorization.
This can help with:
- Better reporting
- Cleaner product organization
- More accurate online merchandising
- Easier filtering for staff during daily operations
Publish products online
Use Publish Online to make selected items available online.
This action:
- Adds the availableOnline tag
- Changes the product status to Listed
- Makes the items appear online
This is useful when you are moving products from intake or in-store readiness into an omnichannel selling workflow.
Because Publish Online updates both tags and status, review your selected items carefully before using it.
Republish listed items
Use Republish Listed Items when you want selected online items to appear higher in online display order.
Republishing updates the items’ timestamps, which changes their order online.
This can help when you want to feature certain products again without editing them one by one.
Move inventory locations
Use Edit Inventory Locations to move many items between locations in bulk.
This is helpful for:
- Rebalancing inventory across sales floors or storage areas
- Updating location attribution after intake
- Preparing products for store-to-store or in-store-to-online workflows
Prep items for sale or clearance
Use Prep for Clearance/Sale when you are marking selected items for discount workflows.
If you need to remove clearance or sale treatment later, use Reset Sale/Clearance.
Reset Sale/Clearance is the only bulk option listed for removing the Clearance state. If items were marked for clearance, use this action to reverse that status.
Message vendors in bulk
Use Message Vendor of Selected Items when staff need to contact vendors about a group of products.
Example use case:
- Requesting approval to reduce prices on selected items
Duplicate products
Use Duplicate Items to create copies of selected products.
This may be useful when staff need to recreate similar listings or repeat a setup workflow.
Export selected products
Use Export CSV to download the selected products as a CSV file.
This can help with review, reporting, or offline checks before further updates.
Unassign RFID tags
Use Unassign RFID Tags to remove RFID assignments from selected products in bulk.
Delete products
Use Delete Items to remove products in bulk.
Deleting items in bulk can be hard to undo operationally. Double-check your filters, selected items, and item count before deleting anything.
Operational tips for safer bulk edits
Follow these practices to avoid mistakes:
- Filter first, then select
- Confirm whether you selected only the current page or all matching products
- Check XX Items selected before applying any change
- Be cautious with one-of-a-kind items
- Review actions that affect online visibility, sale state, or inventory location
- Use bulk edit for shared changes, not for items that each need individual review
Bulk edit examples
Here are common examples of when bulk edit is the right choice:
| Task | Best tool |
|---|---|
| Mark many items as listed | Edit Status or Publish Online |
| Add seasonal or workflow tags | Add Tags |
| Remove outdated tags | Remove Tags |
| Correct category or style data | Edit Taxonomy Values |
| Update prices for a group | Edit Price |
| Move items to a new location | Edit Inventory Locations |
| Push selected listed items higher online | Republish Listed Items |
| Remove clearance state | Reset Sale/Clearance |
When not to use bulk edit
Edit products one at a time when:
- Each item needs a different price
- Items have unique condition details
- Product descriptions or attributes vary significantly
- You are unsure whether all selected products should receive the same change
- You are working with a small number of unique resale items where accuracy matters more than speed
What to do next
After your bulk edit:
- Review a few updated products to confirm the change worked as expected
- Check online items if you used Publish Online or Republish Listed Items
- Verify inventory locations if you moved products
- Confirm sale or clearance status if you changed markdown settings
If you only need to fix a small number of products, return to individual product editing instead of running another bulk change.
