When to use this flow
Use this process when a customer is buying an item in person and you need to complete the sale in Ribbn from the app.
This flow works for:
- Single-item or multi-item in-store purchases
- One-of-a-kind resale items
- Tagged items you can scan
- Items you need to find manually
- Sales linked to an existing customer or a new customer profile
Completing checkout updates the order, marks the item as sold, and sends the customer an email confirmation.
Before you start
Make sure you have:
- Access to the Ribbn app
- The item or items ready to sell
- A working scanner flow for RFID or QR tags, if the item is tagged
- A connected Stripe or Zettle reader if the customer is paying by card
If a product is not ready to sell because it has not been created yet, add it to inventory first using your store’s normal product creation flow, such as AI QuickList if your team uses it.
Check out a sale in store
1. Open the store checkout flow
- Open the Ribbn app on your phone.
- Log in.
- Tap the shopping cart icon with a plus sign at the bottom of the screen.
2. Add item(s) to the cart
Choose the fastest way to add the product:
Option A: Scan a tagged item
- Open the QR scanner.
- Scan the item’s RFID or QR tag.
- Confirm the correct product appears.
This is often the quickest option for one-of-a-kind inventory because it helps ensure you select the exact item.
Option B: Search for the item manually
- Use search if scanning is not available.
- Find the product in the list or search results.
- Confirm you are selecting the correct item.
This is helpful if:
- The item does not have a scannable tag
- The tag is damaged
- You are selling from inventory that was added earlier without using a scan step
3. Select the item(s)
- Tap the circle in the top left corner of each item you want to sell.
- Tap Add to Cart.
- Tap View Order Summary when you are done.
If the customer is buying more than one item, repeat the add-to-cart process until the cart is complete.
For one-of-a-kind resale items, double-check that the selected item matches the exact piece the customer is buying before you continue.
4. Link the sale to a customer
- In the order summary, tap Link to User.
Then choose one of these options:
Option A: Link to an existing customer
- Search for the customer.
- Select the correct profile.
Option B: Create a new customer
- Tap the + icon at the top of the screen.
- Create a new customer profile.
- Enter the customer’s:
- Name
- Phone number
You can either:
- Hand the device to the customer so they can enter their own details, or
- Enter the details yourself
Linking the sale helps keep the order history tied to the right customer and supports follow-up through the order confirmation email.
5. Take payment
Choose the payment method that matches the transaction.

| Mark as Paid | Cash or another manual payment method | Select Mark as Paid, then confirm the transaction |
| Stripe/Zettle Reader | Card payments | Select Stripe/Zettle Reader, take the card payment, then confirm the transaction |
After payment is accepted, finalize the purchase in the app.
Only finalize the sale after you have confirmed the correct payment option and the payment has been completed.
6. Confirm the sale is complete
After checkout is finalized:
- The order is recorded in Ribbn
- The product is marked as sold
- Inventory status is updated
- The customer receives an order confirmation email

Common situations
The item will not scan
If the tag does not scan:
- Search for the item manually.
- Confirm you selected the correct product.
- Continue checkout as usual.
The customer is not in Ribbn
If you cannot find the customer:
- Tap the + icon.
- Create a new profile.
- Add their contact details.
- Continue with payment.
The customer is buying multiple items
- Add each item to the cart.
- Make sure every item is selected before tapping View Order Summary.
- Complete checkout once the cart is correct.
What happens next
After the sale is complete, the main next steps are usually:
- Give the customer their purchased item(s)
- Confirm they received or will receive their email confirmation
- Return to the store interface for the next sale
If you need to continue selling across in-store and online workflows, make sure the sold item is no longer treated as available inventory.
